Data controller

BOREK Solutions is the data controller for personal data processed through the AI Suite platform.

What data we collect

• Account information: name, email address, username, and role
• Authentication data: login timestamps and security settings (including MFA status)
• Project activity: tasks, comments, submissions, and related workflow data
• Agent usage: run history and operational metrics linked to your account

Why we collect it

We process this data to deliver the service, manage your account, provide project and agent features, maintain security, and comply with legal obligations.

How long we keep it

Data is retained while your account is active. After deactivation, personal identifiers are anonymised and remaining records may be kept for up to 365 days for operational and legal purposes before further retention review.

Your rights

Under GDPR you have the right to:

• Access — download a copy of your data from Settings
• Rectification — update your profile information at any time
• Erasure — request account deletion from Settings
• Portability — export your data in a machine-readable JSON format

Third parties and subprocessors

We do not sell your personal data to third parties. We use the following subprocessors to operate the platform:

• Microsoft Azure — cloud hosting and storage
• OpenAI — AI-powered features (ReqPilot, tutor, and agent capabilities)

Supervisory authority

If you believe your data protection rights have been violated, you may lodge a complaint with your local data protection authority (DPA) in the EU/EEA.
